A Note from Pastor Lance

I've decided to start meeting with each member of the team on a weekly basis in meetings called One On Ones or MT03s. I think this is a great way for us to maintain good, open communication, and continue to build our relationship. We'll be meeting for 30 minutes once a week, at a pre-scheduled time. It will be a private conversation - just you and I.

The format of the 30 minutes will always be the same. The first 10 minutes are for YOUR agenda - anything you want to tell me, about anything. Your work, your family, your pets, your hobby, your challenges, your career, your department, your goals, your tasks, our working together. The primary focus of this meeting is going to be YOU.

The middle ten minutes are for me, to share whatever I need to with you. We'll probably talk about projects you and I are working on, stuff I need from you, and things I've heard from up above. It will NOT be a team meeting with only one attendee; that is, I'm not just going to give you a ton of stuff to take notes on. The last 10 minutes are for us to talk about the future - your career, training, development, opportunities, etc. In my experience, a lot of the time you'll take 15 minutes, and I will too, so we won't get to the last segment. But that's okay, if we've covered what YOU want to cover, and I get a few minutes.

Common things I will talk about are:

  • What is the most important thing we need to discuss today?
  • What are your most significant accomplishments since we last met?
  • What are the most important things you will focus on before we meet next?
  • What obstacles are you encountering right now?
  • What can I do better or differently as your manager to support you?
  • What is the status of your goals, tasks, budget

I expect that every person attends this meeting on time with things to talk about. I am not a dentist and will not force you to talk. I will stare at you for your entire ten minutes if you have not brought something to talk about. I expect you to bring something to talk about to every meeting.

This is a dedicated 30 minutes to the success of you as an individual and an investment in the ministry initiatives you oversee. Failure to report on time for this meeting will result in disciplinary action. Things you should bring to this meeting:

  • Be ready 3-5 minutes before the meeting begins with a positive attitude ready to talk and learn.
  • Review your notes during your pre-five minute time to determine what you want to talk about.
  • Review your goals, asana task list, budget, etc.
  • Have your asana task list accessible
  • Be prepared to make asana tasks during or at the end of the meeting
  • Questions that you have been holding onto throughout the week to discuss at your MT03 Meeting

I truly believe that this mutual investment will produce dividends in the ministry and provide us with more cohesive plans and direction. Over time, this regular meeting will save us time from having urgent “Can I ask you this real quick” meetings and allow us to get more done over time. When faced with a challenge in your oversight, you should always ask yourself “can this wait til my next MT03 meeting?” If it can, please write it down on your Google Doc or Asana to discuss it at your MT03 meeting. If not, please post in the appropriate slack channel or schedule a meeting with the links below. Weeks MT03s are optional

MT03s are required for weekly gatherings. Special persmission must be granted in order to skip an MT03 for a week. There are a few weeks MT03s are optional, which means that you may opt out. You can opt out by declining the event in your Google Calendar.

Weeks MT03s are optional

  • The week of Memorial Day
  • The week of Independence Day Observed
  • The Week of Thanksgiving
  • The week of Christmas Eve
  • The week of New Years Eve

What if your MT03 Falls on a day the Office is Closed

If your MT03 happens on a day the office is closed, please reschedule for another day that week. Please do so as soon as possible as there will be limited time to do so in those weeks. Please reach out to your reporting manager to confirm this meeting. Employees who skip meeting because they failed to reschedule will be reprimanded.
