Sanctuary Presence & Communication Policy

Applies To: All Staff Pastors

1. Purpose: This policy ensures a consistent pastoral presence in the sanctuary prior to worship and establishes clear communication expectations when deviations occur. The goal is to foster hospitality, availability, and accountability as core values in our ministry culture.

2. Sanctuary Arrival Expectation: All staff pastors are expected to be present in the sanctuary at least 15 minutes before the service begins (e.g., 10:45 AM for an 11:00 AM service) to greet and engage with congregants. This visible presence supports our church’s commitment to being relational and welcoming.

3. Acceptable Exceptions: We recognize that ministry is dynamic. If a staff pastor is delayed due to active ministry elsewhere—such as praying with someone, handling a pastoral care need, or assisting with another ministry area—this is considered acceptable as long as it is communicated appropriately.

4. Communication Requirement: If you are unable to be in the sanctuary 15 minutes before the service begins, you must:

Post the reason for your absence on Slack in the appropriate #admin-d channel

Do so within 24 hours of the missed sanctuary presence

Share the message personally, not through a proxy or general announcement

5. Accountability: Failure to appear without timely communication will result in documentation and may lead to a written warning.

Repeated or uncommunicated absences may result in further disciplinary action, up to and including suspension or termination.

6. Heart Behind the Policy: This policy exists not to enforce rigid rules but to uphold our shared values of presence, leadership, and care. If you’re actively ministering elsewhere, we celebrate that—just keep your team informed.
