Why to schedule a Meeting

There are many times when an employee may want to schedule a meeting with one of the members of administration. Tree of Life Open Bible Church utilizes a scheduling tool to make this simple and easy for people to meet. Administration may request a meeting with a staff member or a staff member may chose to initiate a meeting on their own.

The Process

The process is that an employee should go to the staff members scheduling page and select the proper type of meeting, duration, and attempt to schedule on their own.

Rescheduling a Meeting

If an employee needs to change a meeting, they can on their own reschedule through the app, without needing the request anything of the member they are meeting. The entire process is automated. An employee does not need to apologize or ask permission to reschedule, they may do so at will.

Discipline for Failing to Report to a Meeting

An employee who fails to show up for a scheduled meeting may be disciplined for skipping a meeting with management.

When the Scheduler Does Not Give a Viable Option

The calendar tool system is intended to help streamline this process so that staff can automate things but this is not a perfect process. If an employee needs a meeting sooner than the scheduler will permit the employee should then reach out to the staff member with two date/time options that work for the staff member and ask the staff member to select one that works best for them. If neither option works, the process repeats until an amicable solution is found.

This is locally referred to as "The Old Fashioned Way."

The proper format for this is:

<manager> your calendar does not have a meeting time slot for us to meet about <important topic>. I have availability on <option of date 1 with time> and <option of date 2 with time>. Would either of these be possible for us to meet?

Pastor Lance your calendar does not have a meeting time slot for us to meet about our budget review. I have availability on Monday at 11 and Tuesday at 5pm. Would either of these be a possible time for us to meet?

Important Reminders

Remember, the calendar system is dynamic and changes for busier employees many times during the day. It may be worth looking again if it is a new day as schedules ebb and flow.
