Church-Attendance

Regular Attenders

(those who attend church on a regular basis)

1. A regular attender is someone who attends on a regular basis.
2. Regular basis has been established by Barna as being at least 2 times per month.

Visitors

(those who attend church more than one time or who are family/friends that attend on special occasions)

1. A visitor who attends at least 5 Weeks should be classified as a regular attender.

First-Time Attenders

(those who visit our church, who have not attended in a year are considered first-time attenders)

1. Someone from the hospitality team should try to get the visitor to fill out a "Get Rooted" card.
2. When the visitor return their "Get Rooted" card they should be given a welcome packet.
3. The welcome packet will include: the welcome booklet (updated as needed), half sheet flyers for any upcoming events, and any additional items to fill the bag as available. (Initial creation of bags contained: a notebook and pen, a little Jesus, a booklet on prayer, a small thumb cross, a roll of candy from the 5 Below haul, and flyers for upcoming events in addition to a coupon for dinner with a pastor and the welcome booklet.) They were placed in an A5 (6.8"x9.4") zipper pouch that were obtained from temu.

If a Get Rooted Card is submitted:

1. On Sunday or Monday, enter their contact information into Planning Center People. Use the "Notes" to designate their first Sunday and any information we know about them. As follow-ups are done, please utilize the notes section to show the amount of contact and conversations.
2. Sunday or Monday after a first time visit, they should be added to the TIC Hello group where a text message should be sent to them, welcoming them to Tree of Life, as long as a phone number is submitted and they have designated permission to text.
3. They should be added to the PCO Workflow. Through the workflow you can add notes to their profile too. This will track their first 5 attendances and weekly follow-ups.
4. Monday or Tuesday they should receive a phone call welcoming them, trying to schedule a dinner, see if they have any questions, etc.
5. Later in the week, a welcome post card should be mailed, with our contact information, if an address is submitted.
6. During the 2nd week after their first visit they should receive a follow up phone call.
7. During the 3rd week after their first visit they should receive a phone call from Pastor Lance.

IF they continue to visit each week, on the 5th visit we consider them to be a Regular Attender

On their 5th visit:

1. They should receive a special card with next step information so they can get involved with the church community.
2. Next steps include but are not limited to:
   • Baptism
   • Small Groups
   • Social Events
   • Volunteering on Sundays
   • Tithing, Prayer, Reading the Bible, and other spiritual disciplines

Missing Member Follow-up Plan

(for regular attenders who miss multiple weeks)

1. After missing 2 weeks in a row, a "we miss you" text message will be made in an attempt to make sure they don’t fall into the at-risk category.
2. After missing 3-4 consecutive weeks, and after the 1st step is done, follow up with a phone call or card by a director or team lead who has connected with them.
3. After missing 5-6 weeks, and after completing step 1 and 2, schedule another phone call or personal visit with them and a pastor.
4. After missing more than 6 weeks, and after completing all the above steps, have Pastor Lance reach out to them.
5. At 9 weeks send a “we’re thinking of you” card.

At-Risk Attenders

(those missing 6+ weeks are considered “at-risk”)

At what point do we stop monitoring their attendance?

• they ask to be removed from our lists/contact
• they let us know they are attending another church or have no further interest in Tree of Life
• They move to another area, too far to travel here
